Cookie Policy

Effective November 2, 2026

The short version

  • Three cookies: one keeps you signed in, two remember your view and your appearance choice.
  • A few small notes in your browser, and a background script for notifications.
  • No advertising or analytics cookies, and no third-party cookies set by our pages.
  • Signing out or clearing your browser’s site data removes them.

1. What this page covers

Cookies are small pieces of text a website asks your browser to keep. Browsers can also keep small notes for a site in “local storage” or “session storage”. This page lists every cookie and stored item Headcount (headcount.today and the Headcount apps) uses, what each one is for, and how long it lasts.

Headcount only uses them to sign you in, remember your choices, and make the app work. Our Privacy Policy explains the rest of what we collect.

2. Cookies

Needed to use Headcount

  • __Host-headcount-session keeps you signed in. It holds a random sign-in token, not your password or email address, and your browser won’t let scripts on the page read it. It lasts 7 days from when you sign in, and signing out removes it. Without it you can’t sign in.
  • __Host-headcount-trusted-browser is optional. After you enter an owner sign-in code, you can choose to remember this browser for 30 days. It keeps a random token that lets this browser skip the next emailed sign-in code when you enter your password; it does not contain your password or email address, and scripts on the page cannot read it. Signing out, changing your password, or resetting it removes the browser’s trust.

Remembering your choices

  • hc_view remembers which view you picked, if you use Headcount in more than one way (for example as a parent and as a coach), and whether you want to be asked at sign-in. It’s set when you pick a view, lasts 1 year, and signing out removes it.
  • hc_theme remembers the colors you chose for the app: Dark, Clean white, one of the color schemes, your own color, or Match my phone. It’s set when you pick one in Settings and lasts 1 year; while you keep using Headcount we set it again about once a day, unchanged, so your choice isn’t lost. Without it, Headcount shows the Dark look, or the colors saved with your account if you’re signed in.
  • hc_console remembers the colors, background style, background motion and glow color you chose for Headcount on a computer. It’s set when you pick them and lasts 400 days. Without it, the computer view shows the Mint look.
  • hc_look_own tells this device to keep its own colors, for the phone, the computer or both, instead of the ones saved with your account. It is set if a color you picked couldn’t be saved to your account yet, and it stays on devices that had chosen to keep their own colors before. It lasts 1 year (renewed while you use Headcount) and is removed when your choice from this device is saved to your account, or when you sign out.
  • hc_glass remembers whether you turned on Liquid Glass, the see-through look, and the background you picked for it (your colors, solid, or a photo), separately for the phone and for the computer. It’s set when you change it in Appearance, lasts 1 year, and your browser won’t let scripts on the page read it. If you’re signed in, the choice saved with your account comes first; this cookie is the fallback when that can’t be read, and the only record if you aren’t signed in. Without either, Headcount shows the regular look.
  • hc_look_acct keeps a copy, on this device, of the colors saved with your account, so Headcount can still show them if it can’t reach your account for a moment. It holds the color choice and a short code that ties it to your account, not your name or email address, and your browser won’t let scripts on the page read it. It’s set while you’re signed in and this device uses the colors saved with your account, and lasts 1 year, including after you sign out (it is only ever used for the account it belongs to); we set it again when you pick colors here, when this device notices its copy is out of date, and about once a day, and remove it if your account has no saved colors. Without it, at a moment when your account can’t be reached, Headcount shows the colors last chosen on this device instead.
  • hc_teams_view remembers how you like a club’s Teams page shown on a computer: cards, compact cards, a list, a list grouped by age, or a list with a preview. It’s set when you pick one from the Views menu and lasts 1 year. Without it, Headcount shows cards for a club with up to 12 teams and the list for a bigger one.
  • hc_places_view remembers how you like a club’s Places page shown on a computer: cards, compact cards, a list, a list grouped by town, or a list with a preview. It’s a preference only, set when you pick one from the Views menu, and lasts 1 year. Without it, Headcount shows cards for a club with up to 8 places and the list for more.
  • hc_fields_view remembers how you like a club’s Fields page (field booking) shown on a computer: the week grid, the season list or the booking board. It’s a preference only, set when you pick one from the Views menu, and lasts 1 year. Without it, Headcount shows the week grid.
  • hc_fields_coach_view remembers how a coach likes to see the times their team can book: by day, all season, or the booking opening. It’s a preference only, set when you pick one, and lasts 1 year. Without it, Headcount shows the times by day.
  • hc_town_fields_view remembers how a town’s admins like the town’s field calendar shown: a day timeline, a week by facility, or by place. It’s a preference only, set when you pick one from the Views menu, and lasts 1 year. Without it, Headcount shows the day timeline.

These cookies are set by headcount.today itself. They’re only used by Headcount and aren’t shared with anyone.

3. Other things your browser keeps for us

  • A dismissed site message (local storage, named team-app:site-banner-dismissed: plus a short code): when you close a message shown across the top of Headcount, this remembers that you closed it, so it doesn’t come back. It stays until you clear your browser’s site data.
  • Your club’s colors (local storage, named hc_crest_colours: plus the address of the club’s crest): on the club console on a phone, the colors picked from your club’s crest are kept so the club banner shows in the right colors straight away. It stays until you clear your browser’s site data.
  • When your color choice was last kept (local storage, named hc_look_kept_at): a time, nothing else, so the hc_theme cookie is set again only about once a day. It stays until you clear your browser’s site data.
  • Times a coach starred (local storage, named hc_fields_stars_ plus the team’s code): before field booking opens, a coach can star the times they want, and this keeps those stars on this device so they’re still there at the opening. It’s a convenience only, nothing is booked or sent with it, and it stays until you clear your browser’s site data.
  • A payment you started (session storage, named fd:pending-checkout): when you leave Headcount to pay a club fee on Stripe’s page, this notes which fee and when, so if you come back without paying we can tell you nothing was charged. It’s removed when you come back to that fee, and your browser deletes it when you close the tab.

Notifications helper

Headcount installs a small background script (a “service worker”) in your browser. Its only jobs are to show notifications and open the right page when you tap one. It doesn’t save copies of pages or track what you do. Headcount only sends notifications after you turn them on and your browser or phone asks you to allow them.

4. What we don’t use

  • No advertising cookies, and no cookies that follow you around other websites.
  • No analytics cookies and no outside analytics service. We count page visits ourselves without any cookie, as our Privacy Policy explains.
  • No third-party cookies set by our pages. Our fonts and photos are served from our own site.

Paying through Stripe. When you pay, Headcount sends you to Stripe’s own checkout page, and Stripe’s billing page when a club manages its plan. Those pages run on Stripe’s site and use Stripe’s own cookies, for example to prevent fraud. Stripe’s cookie and privacy policies apply there.

5. How to clear them

  • Sign out to remove the sign-in cookie and your saved view straight away.
  • Clear site data for headcount.today in your browser’s settings (usually under Privacy, “Cookies and site data”) to remove all of the cookies and stored items above, including the notifications helper. On an iPhone, look for Website Data under Safari’s advanced settings.
  • Turn notifications off in Settings in Headcount, or in your browser’s or phone’s notification settings.

If you block cookies for headcount.today, you won’t be able to sign in, and your appearance choice won’t be remembered.

6. Changes to this policy

If we add, rename or change a cookie or stored item, we’ll update this page and the date at the top.
