Refund Policy

Effective September 30, 2026

The short version

  • Headcount is free during the pilot. Nobody is being charged yet.
  • Clubs pay for plans. Plans renew until canceled, and a club can cancel any time.
  • A canceled plan runs to the end of the paid month or year. We don’t refund partial periods, except for double or mistaken charges, or where the law requires.
  • Club fees are paid to the club, and the club handles its own refunds.
  • If a club fee is paid twice by accident, Headcount refunds the extra automatically.

1. Where things stand

Headcount is in an early, free pilot. No club is charged for a plan yet, and families can’t yet pay club fees through Headcount.

This policy explains how cancelling and refunds work once paid plans and fee payments start. Before anyone is charged, we’ll show the price and ask you to agree, as our Terms of Service say.

2. Plans for clubs

Who pays

Plans are paid by clubs, not by families or players. The Free plan has no charges and needs no card. A paid plan is started from the club’s Billing page by the club’s owner, or by an administrator the club has allowed to manage billing. Payment is taken by our payment provider, Stripe, on its own secure page. Card details go to Stripe, never to us.

Renewal

A paid plan is a subscription. A monthly plan renews every month and a yearly plan renews every year, charged to the same card, until it’s canceled. The price and how often you’ll be charged are shown before you pay.

Cancelling

The club’s owner, or an administrator who manages the club’s billing, can cancel at any time from the club’s Billing page (Manage billing), or by emailing us at route128works@gmail.com from the email address on their Headcount account with the club’s name. Once it’s done, the club’s Billing page shows that the plan cancels at the end of the period.

Cancelling stops the next renewal. The plan keeps working until the end of the month or year the club has already paid for, and the club isn’t charged again. Cancelling a plan doesn’t delete the club’s teams, schedules or other information.

3. Refunds for plans

Because a canceled plan keeps working until the end of the period that was paid for, we don’t refund the unused part of a month or a year. This applies to yearly plans too: cancelling part-way through a year stops the next yearly renewal, and the plan runs until the end of that year.

We will refund a plan payment when:

  • the club was charged twice for the same period;
  • the club was charged by mistake, for example after it had canceled; or
  • the law requires a refund.

Refunds go back to the card that paid. Your bank decides how quickly the refund shows on your statement.

4. Club fees

When a club collects fees through Headcount, such as registration or tournament fees, the payment goes to the club’s own Stripe account, not to Headcount. The club sets the fee, the amount, the due date, and whether it can be paid in parts. If a card fee is added, the amount is shown before you pay.

Refunds of club fees

The club sets its own refund rules and decides whether to give a refund, for example if a player leaves the team or an event is canceled. Please ask your club first. Headcount doesn’t decide refunds for club fees.

Paying twice by accident

If a fee is paid twice by accident (for example, two parents pay the same fee at the same moment), or someone pays more than the fee still owes, Headcount keeps only what was owed and automatically refunds the extra to the card it came from. If an automatic refund doesn’t arrive, email us at route128works@gmail.com and we’ll sort it out.

5. How to ask for a refund

  • A plan: email route128works@gmail.com from the email address on your Headcount account, with the club’s name, the date and amount of the charge, and what went wrong.
  • A club fee: contact your club. If you can’t reach them, or you think you paid twice, email route128works@gmail.com with the club’s name, the player’s first name, and the date and amount.

Please never send card numbers or your password by email. We’ll never ask for them.

6. Changes to this policy

When we change this policy we’ll update the date at the top. If a change is significant, we’ll tell clubs in the app or by email before it takes effect.
